The short answer

A care provider holding a sponsor licence must keep a right to work file, absence records and up to date contact details for every sponsored worker, and report most changes to the Home Office within ten working days. Licence revocation stops international recruitment immediately.

Who this pack is for

  • Domiciliary and residential providers with sponsored staff
  • Registered managers preparing for a CQC inspection
  • Providers who have never run a sponsor self audit
  • New providers building a policy suite from nothing
  • Care groups standardising documents across sites

Not for you if: You need a mock inspection or a consultant on site. This is the document file that sits underneath that work.

What it solves

1

A Home Office compliance visit is announced with three days notice.

2

An inspector asks for supervision records that were never kept.

3

A medication error occurs and the policy does not match practice.

What the law requires

Sponsor duties are record keeping duties

Sponsors must keep specified documents for each worker, report changes through the sponsor management system within ten working days, and be able to produce the file on request. Most revocations follow record failures, not recruitment failures.

Safeguarding and duty of candour

Providers must have safeguarding arrangements and, under the fundamental standards, be open when things go wrong, including an apology and a written account.

Safe recruitment

Enhanced DBS checks with the adults barred list where the role is regulated activity, with a written recruitment procedure and evidence retained.

How updates work

Every document carries a version number and a reviewed date. On the first Tuesday of each month the pack is checked against its primary sources. If anything has changed you receive the updated file and one line explaining what moved and why. If nothing has changed you receive an email saying so.

April and the Budget are the months when most figures move.

Questions

Does this guarantee a good CQC rating?

No. It gives you the written evidence inspectors ask for. Practice has to match the paperwork.

Is the sponsor licence file the same as the standalone pack?

Yes, the sponsor licence compliance file is included here in full rather than sold separately.

Does it cover children's services?

No. This pack is adult social care. Childcare is covered by the childcare and nurseries pack.

How current is the sponsor guidance?

Checked monthly and after every Home Office statement of changes, which typically lands three times a year.

How is it delivered?

By email, as Word and PDF files, personalised with your service details.
