What the law requires

Record keeping duties

Appendix D of the sponsor guidance lists the documents that must be kept for each sponsored worker, including right to work evidence, contact details, absence records and evidence of recruitment.

Reporting duties, ten working days

Changes such as a change of job, salary, work location, early termination or unauthorised absence of ten or more days must be reported through the sponsor management system within ten working days.

Genuine vacancy and salary

The role must be genuine, match the SOC code, and meet the going rate and general salary threshold applicable at the time of assignment.

How updates work

Every document carries a version number and a reviewed date. On the first Tuesday of each month the pack is checked against its primary sources. If anything has changed you receive the updated file and one line explaining what moved and why. If nothing has changed you receive an email saying so.

April and the Budget are the months when most figures move.

Questions

How often should I self audit?

Annually at minimum, and before any known change of key personnel. The pack includes the audit template.

Does this cover all visa routes?

It is written for the skilled worker route, which covers most sponsored employment. Other routes have their own annexes.

How current is it?

Sponsor guidance changes with each statement of changes, typically three times a year. Updates are sent to subscribers within five working days.

Can our immigration solicitor use it?

Yes. Several will recognise it as the file they would otherwise build by hand.

How is it delivered?
